- As needed, provide assistance to the MBD department in the preparation of proposals, client presentations, and the maintenance of current CVs for fee earners.
General Administrative Support:
- Assists in the management of incoming communication, including fee earners’ email, drafts and transcribes responses as directed by fee earners, and guarantees that all mail is processed in a timely and accurate manner.
- Ensures that all work activities are scheduled effectively by pro-actively managing fee earners’ diaries, making appointments, arranging meeting locations, and organizing travel arrangements and expense claims. Capable of making informed decisions in the event of a conflict or recognizing when to seek the assistance of a fee earner.
- Coordinates all travel in a manner that is both effective and efficient. This must encompass anticipating additional requirements (accommodation, currency, returns, transfers) and planning in contingency, as well as comprehending the preferences of fee earners.

- Assist the Receptionist with administrative support and cover for office administration and operations duties as needed.
- Assists fee earners with fundamental technical inquiries, enabling them to optimize the utilization of available IT and KBD resources. Ensures that one’s understanding of technical products is current.
- Assists in the coordination, administration, and logistics of internal seminars and training events, ensuring that fee earners are informed of pertinent events.
- Performs engagement letter drafting, matter openings, and risk assessments.
- Manages the end-to-end process of sending invoices and assists fee earners with the billing processes, including the preparation of initial drafts of bill narratives.
- Offers fee earners the necessary assistance in managing personal matters to enable them to concentrate on delivering efficient services to clients.
- Recognizes the department’s policy regarding confidentiality barriers and implements it accordingly.
Communication:
- Ensures that all fee earners are kept informed of their current location, service requirements, and priorities through daily communication.
